Supervision of Subordinates:
- Organize and supervise the work of subordinates to ensure all work within Inbound Logistics and the bulking terminals is carried out efficiently and in line with operating procedures and organization policy.
- Set team goals and objectives in line with management and company goals.
- Monitor workplace performance and lead training initiatives to improve employees.
Budgets and Plans: Contribute to preparing and submitting the budget for inbound logistics transportation, bulking terminals and 3PL storage tanks, and monitor financial performance (expense analyses) against budget so anticipated costs and areas of unsatisfactory performance are identified.
Policies, Systems, Processes & Procedures: Recommend policy improvements and direct the implementation of instructions covering all areas of inbound logistics, fulfilling procedural and legislative requirements while delivering a quality, cost-effective service. Understand customer and internal audit requirements and meet their objectives.
Day-to-Day Operations: Supervise the day-to-day operations of inbound logistics to ensure work processes are implemented as designed and comply with established policies and procedures.
Bulking Terminals — Leading the Inbound Logistics Team on:
- Obtaining the vessel nomination from the supplier (loading quantity, contracts and Q88 based on the charter party) 15 days before the agreed shipping date.
- Creating ACID numbers on Nafeza (Egyptian Portal for Foreign Trade) before the cargo loading date, according to the proforma invoices.
- Sharing shipping and cargo instruction documents with the supplier, and the related documents with the insurance company to issue cargo insurance policies for external vessels and storage sites in Egypt; sending a copy of the vessel insurance to the broker for customs clearance.
- Following up with the shipping agency on ETA updates to estimate vessel arrival.
- Collecting title documents and Form 4 from the bank; handing the original bills of lading, Form 4, certificate of origin and invoices to the shipping agent and broker, and keeping the third original B/L in case of an insurance claim for shortages or damages.
- Making a clear plan with all stakeholders to receive shipments with zero demurrage cost.
Inbound Logistics Operations:
- Follow up with all internal and external parties (Planning, Refineries, foreign suppliers, B2B Sales, clearance office, export and import authority, NAFSA, etc.) to ensure smooth, on-time oil transfer to the factory according to the production/sales plan.
- Manage 30 owned oil tanks at terminals with a total storage capacity of 36,000 tons (35 tanks with 48,500 MT capacity after the 2024 capacity project), plus about 55,000 MT of storage in 3PL tanks, ensuring tank space availability and receiving different oil types separately to avoid contamination.
- Follow up maintenance of 16 owned tankers and the oil tanks, applying AM and PM in coordination with the engineering team.
- Arrange with the Health authority to inspect tanks before receiving cargo.
- Ensure storage space for received oil, whether in Savola tanks (via SGS surveyor vessel measurements) or by negotiating tank rentals with external companies at competitive prices.
- Manage oil supply to and from third-party companies (El Wattania, Arma, IOI, Allseed Grain, MI Gob).
- Manage oil logistics from terminals to the plant, from terminals to B2B customers, and refined oil from the plant to B2B customers according to the customer dispatch plan.
- Follow up QCL results and SME requirements of oil samples to ensure received oil meets standards.
- Develop new service providers (transport contractors, 3PL tanks inside and outside the terminals, customs clearance offices).
- Work closely with customs clearance offices to reduce clearance and COC lead times.
- Manage the receipt of 550,000 tons of raw oils of different types (local and overseas).
- Follow up foreign suppliers on shipping documents, vessel ETD/ETA, showstoppers and the MTS system.
Planning:
- Set the oil planning system according to the rolling sales and production forecast.
- Follow up oil delivery schedules against the plan and act proactively on any deviation that may affect production.
- Coordinate with product development teams to plan for new items.
Outsourcing: Manage and control the inbound outsourcing operation from the ordering stage until receiving.
